Macquarie University Health is seeking a dedicated and compassionate Ward Clerk to join our Oncology Nursing team on a permanent, part-time basis. This is a rewarding opportunity to play a pivotal role in ensuring the smooth day-to-day operations of our Oncology ward, directly supporting clinical staff and enhancing the patient experience during what can be a deeply significant time in their care journey.

As a Ward Clerk in our Oncology department, you will be at the heart of a collaborative, multidisciplinary team committed to delivering outstanding patient-centred care. You'll provide essential administrative support that enables our nurses, allied health professionals and accredited practitioners to focus on what they do best, caring for patients. About the Role

Reporting to the Nurse Unit Manager, the Ward Clerk provides high-quality administrative and clerical support within the Oncology Nursing department, ensuring efficient patient flow, accurate documentation and an excellent experience for patients and their families.

Key responsibilities include:

  • Performing administrative duties including patient registration, bookings, admissions and discharges, monitoring incoming calls, scanning and uploading patient documents, clerical support and data entry.
  • Assisting in the management of patient flow including bed allocation and room set-up to support optimal ward operations.
  • Communicating effectively with patients and carers, providing a welcoming and supportive first point of contact within the Oncology ward.
  • Assisting the healthcare team in obtaining information, reports or correspondence related to patient care.
  • Maintaining effective electronic and paper-based filing systems to ensure prompt retrieval of information.
  • Supporting timely data collection and communication with booking teams to ensure correct service billing and report creation.
  • Contributing to quality improvement activities, audit preparation and ISO 9001 certification processes, and ensuring incidents are reported accurately and in a timely manner.

Selection Criteria

  • Previous administration experience, preferably in a hospital or healthcare setting.
  • Demonstrated effective interpersonal communication skills and the ability to work collaboratively within a multidisciplinary team.
  • Demonstrated ability to be flexible and adapt to changing circumstances in a fast-paced clinical environment.
  • Demonstrated ability to set priorities, establish and achieve agreed objectives.
  • Well-developed computer literacy skills including the use of electronic medical records systems, MS Word, Excel and web-based applications.
  • Demonstrated motivational and problem-solving skills with a commitment to actively fostering positive working relationships.
  • A commitment to quality improvement, compliance with workplace health and safety obligations, and adherence to hospital policies and procedures.
